Advanced Medical Support Assistant

Provides administrative support to clinicians and other administrative and professional staff throughout the medical staff office for purposes of coordinating Non-VA medical care for Veterans when the inpatient or outpatient provider has deemed such care necessary. -Coordinates with the patient care team to review clinic appointment availability to ensure that clinic schedules are closely monitored to effectively support the needs of the clinics. -Administrative scheduling and appointment coordination for diagnostic testing, and consultative appointments for many clinical services. -Receive phone calls in a courteous and timely manner, determine the nature of requests, provide the information desired using privacy rules and established processes. -Independently manage position responsibilities with little supervision as well as set priorities and deadlines adjusting the flow and sequencing of work to meet team and patient needs. -Develops continuous monitors dealing with both clinical and administrative quality assessment and improvement activities. -Works collaboratively with the Medical Center's managers, PACT Teams, VA providers, and discipline specific functional area professional and clinical leaders, as well as Social Workers, Managers and Non-VA healthcare professionals and community vendors. Experience:
Must possess six (6) months experience of clerical, office, or other work that indicates the ability to acquire the particular knowledge and skill necessary to perform the duties of the Medical Support Assistant. OR Must have successfully completed one (1) year above high school. This education must have been obtained in an accredited technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. (TRANSCRIPTS REQUIRED) OR Equivalent combinations of experience and education are qualifying for entry level. Experience:
One (1) year of experience that is directly related to the duties of a MSA and that equips you with the particular knowledge, skills, and abilities to perform successfully the duties of this position. To be creditable, this experience must be equivalent to the next lower grade level, GS-5, and demonstrate the knowledge, skills, and abilities associated with current MSA responsibilities. Experience at this level includes, but is not limited to:
scheduling, canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; processing emergency and non-emergency transfers to other VA facilities or private hospitals; and performing basic eligibility, co-pays and preauthorization requirements for specific coverage (i.e., TRICARE, sharing agreements, etc.) Experience may also include:
participating in team huddles and team meetings to manage and plan patient care; setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; may work with the team to reinforce the plan of care and self-help solutions and entering appropriate information into the electronic record; monitoring pre-appointment requirements to assure readiness for patient visit/procedure (e.g., X-ray, lab work); managing electronic wait list to verify and validate accuracy and resolve issues; participating and providing input in problem solving on operational issues or procedures in team meetings, performing administrative follow up actions; participating in and independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care; evaluating patient information and clinic schedule lists to determine whether patient is vested; educating providers about shared patients (those who receive their care at multiple VAs or those who have care in the community) and bringing to the attention of the provider. Advanced knowledge of the technical health care process as it relates to access to care. KSA-4:
Advanced knowledge of managing a clinic which includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. KSA-5:
Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process. KSA-6:
Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians. REFERENCE:

The full performance level of this vacancy is GS-06. Physical Requirements:
The work is primarily sedentary. Physical demands do not exceed those of a typical office setting. There may be some walking, standing twisting, turning, sitting, pushing, bending, repetitive keyboarding, or carrying of light items. Some positions may require sitting for long periods of time at a computer terminal typing data while talking on a telephone headset. In addition, there can be increased stress due to the intensity of a patient/customer complaint or concern.
