POSITION SUMMARY This position performs exceptional customer service and administrative duties in support of Conservation, Planning and Zoning Department staff, customers, and programs.
This position requires specialized program knowledge, be able to apply independent judgement, be dependable, flexible, well organized, detail-oriented individual with excellent oral and written communications skills, solid interpersonal skills, customer service focused, be team oriented, able to multi-task, and have strong computer skills.
Work is performed under the direction of the CPZ management team.
Ideal applicant could start part-time in March or April, work full-time through the summer, and part-time through December.
This position is predominantly an in-office position, however some limited opportunities for fieldwork with department staff may be possible.
Occasional opportunities to go in the field and assist department staff and learn about other department program areas.
QUALIFICATIONS High school graduation or equivalent and two years office support experience; OR any combination of education and experience that provides equivalent knowledge, skills, and abilities.
Post high school education or training in the field of Administrative Assistant, Office Administration, or Business Administration, or a related field is desirable.
Proficiency in Microsoft Suite Software is required.
Duties require attention to details, ability to multi-task and excellent customer service skills.

Customer Service/Quality and Process Improvement/General Office Support:
Provides exceptional customer service, including greeting and assisting walk-in customers, answering phone calls in a professional manner, researching, informing, and referring customers to appropriate information sources.
Responds to requests for information, in person, via e-mail, and over the phone; provides and explains department policies, procedures and regulations.
Provides general office support including scheduling appointments, events, and meetings; ordering supplies and replenishes supply inventory as needed; sorts and distributes mail; organizes and maintains files and public records; and other general office support functions.
Performs data entry using computerized spreadsheets and multiple database applications.
Compiles data, creates and runs reports, and updates as needed.
Supports and participates in quality improvement initiatives, assists with implementation of new systems and special projects, develops solutions to add value and create efficiencies for our customers and programs.
Provides guidance, assistance, and interpretation to co-workers and the public by applying knowledge of CPZ programs, projects, policies, and procedures Maintains open communications and working relationships with the public, CPZ staff, other County departments; local, state, and federal agencies; and community stakeholder groups.
Program Support:
Assists in issuing zoning, private onsite wastewater treatment system, animal waste management system, livestock licensing and other CPZ program permits including collection of required fees.
Assists with non-metallic mining reclamation program annual fees, land division applications and approvals, address applications, and other CPZ program applications including collection of required fees.
Provides administrative support across the department including planning and coordinating projects; assisting in developing administrative procedures; compiling or developing reports, resources, and documents.
Collects, compiles, and organizes data to produce reports and other documents; composes, edits, and reviews a variety of standard or specialized correspondence, reports, documents, applications, forms, spreadsheets, violations, memos, resolutions, newsletters, ordinances, and other applicable materials.
Ensures that these documents are professionally formatted and coordinates the distribution of these items.
Develops and maintains spreadsheets and financial data and uses financial systems to monitor and reconcile accounts receivable, payment processing, and escrow/balance sheet accounts.
Assists with imaging and storage of the department's computer files meeting record retention requirements.
KNOWLEDGE, SKILLS, AND ABILITIES Knowledge of best management principles/procedures of office operations, customer service principles, recordkeeping, and quality improvement methods; and the ability to recommend and develop new business procedures to create operational efficiencies and value for staff and customers.
Strong knowledge of Microsoft Suite of computer programs/software.
Knowledge of or the ability to learn multiple, moderately complex, specialized databased applications such as land information systems, permitting systems and geographic information systems online mapping.
Knowledge of basic math and accounting practices including the ability to complete computations with reasonable speed and accuracy.
Knowledge and understanding of basic legal descriptions and basic surveying terminology with the ability to interpret survey documents and parcel information by legal description.
Knowledge of the County's and department's mission, core values, plans, and priorities for the future and ability to contribute to a positive work culture that fosters excellent customer service and teamwork.
Ability to communicate clearly, concisely, and effectively both orally and in writing including knowledge in business English, spelling, grammar, and formatting documents; including the ability to compile, analyze, record, and assemble data and information in a meaningful and effective manner Ability to manage multiple projects and priorities at one time.
Ability to incorporate new assignments within existing work schedule, and ability to organize and prioritize workload based on deadlines.
Ability to control and process information received from a wide variety of sources and disseminate it to appropriate staff.

Ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing and pulling of objects weighing five to ten pounds.
Tasks may involve extended periods of time at a keyboard or workstation.
COMPENSATION Starting at $17.
50 - $18 depending on experience.
Casual positions are not eligible for County benefits.
