Position
Summary:
The Customer Service Representative is responsible for the entire sales preorder, order entry, and drop ship process for small projects.
This position will provide support to the sales personnel by responding to their customers with accurate and timely service to gather details for opportunity development, order entry, and order management.
Principal Duties and
Responsibilities:
The following duties are normal for this position.

Demo chair program tracking and management.
Communicates orders status and delivery information to customers.
Provides clarification and answers for customer's questions regarding order issues.
Assists sales/project personnel in pricing, product research and technical order information (COM requirements, custom requirements, etc.
) Assists sales with the preparation of customer quotes and presentations.
Reviews and proofs order for basic information (ship to, bill to, contract number, etc.
), accuracy, and completeness.
Enters orders into CRM; sends purchase orders to manufacturers.
Disperses order information to appropriate internal and external personnel (sales staff, operations, customer, etc.
).
Checks acknowledgements against order; resolves discrepancies with manufacturer; sends dropship acknowledgement to customer, adds dropship to install calendar.
Creates packing lists & final client sign off documents for installations.
Reviews receiving information from warehouse and matches to order; resolves discrepancies before approval and sending to accounting; enters receiving information into CRM and client folder.
Gives project folder to accounting to invoice client after product delivery.
Enters orders for punch list/warranty work; follows up to ensure all punch list work is done in a timely manner.
Analyzes order requirements, scope of work, requests service pricing, and schedules work with installer for deliveries on small projects.
Interfaces with furniture manufacturers on order status, current lead times, specials requirements, COM requirements, etc.
Maintains and files customer signoffs for all assigned sales/work orders.
Is responsible for punch list resolution, including ordering product and initiating work orders; follows up to ensure timely completion of punch list work for small projects.
Knowledge, Skills, and Abilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

High school degree or equivalent required.
Associates degree in related field desirable.
Customer service experience and/or office experience required.
Background in inside sales, project coordination or related field is helpful.
Ability to perform clerical and detailed work rapidly, accurately, and neatly.
Results-driven achiever with the ability to attain goals and complete tasks.
Flexible team player who thrives in environments requiring the ability to effectively prioritize and juggle multiple concurrent projects.

Must be able to ask questions, listen to, receive, and give verbal and written instructions and directions in a professional manner.
Proficiency in Microsoft Office, Excel, PowerPoint a must.
Experience with Deltek Vision and CAP Worksheet a plus.
Working Conditions:
In a typical 8-hour workday, an employee will usually sit at least seven hours, stand at least one-half hour, and walk at least one-half hour.
Employee's job requires to occasionally bend/stop, squat/crawl, climb up to eight feet, reach above shoulder height, crouch/kneel, balance, push/pull, lift/carry up to fifty (50) pounds.
Employee's job requires frequently using hands for repetitive action such as simple grasping and fine manipulating.
Work hours are generally during normal business hours.
Some business travel may be required.
